GBSN is seeking an Office Manager/Executive Assistant for our Washington DC office.
Location: Washington, DC
GBSN is seeking an Office Manager/Executive Assistant to provide extensive administrative support, office management, human resources administration and program support. The OM/EA is responsible for organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency. Reporting directly to the Chief Executive Officer, he/she will also be responsible for assistant duties and must be able to handle a wide range of administrative and executive support related tasks, able to work independently with a strong attention to detail.

Essential Duties & Responsibilities
The OM/EA is responsible for the overall management of GBSN’s office functions including:
• overseeing payroll and benefits administration;
• ordering supplies and maintaining vendor contracts and equipment;
• maintaining a central filing system and contact database;
• planning and implementing special events;
• routing information inquires; sorting mail;
• taking meeting minutes;
• answering phones and welcoming visitors;
• compiling GBSN annual and quarterly reports;
• coordinating board meetings;
• conducting research as required;
• supporting general operations as needed.
As Executive Assistant, he/she will work closely with CEO:
• maintaining calendars;
• coordinating meetings and travel;
• preparing correspondence;
• supporting on-going programs;
• and supporting intern program.
As Office Manager, he/she is responsible for:
• ensuring common spaces are kept clean and orderly;
• maintaining computers and general office equipment;
• providing intermediate level technical computer support;
• ordering supplies and monitoring usage.
This position will demand a high level of organization, integrity, professionalism and cultural sensitivity.
Must be/have:
• Bachelor's degree and 2-3 years
experience as office manager and/or
executive assistant in a
small business or not for profit setting;
• extremely well-organized and
detail-oriented;
• strong writing, proof-reading, and
communications skills;
• comfortable with multi-tasking;
• excellent phone and people
skills/experience working with top
executives;
• proficient in Microsoft Office Suite
and Mac OS X;
• knowledge of the Web a plus;
• self-starter and resourceful.
This is a salaried, exempt position.
Hours: 40 hours/week
Salary: Commensurate with Experience
